Digital workforce · Vancouver

Take repeat work
off your plate.
Keep the decisions.

We diagnose one painful process, then run a digital worker in Gmail, Workspace, Shopify, or HubSpot. Written scope. Named operator. Hours you can measure.

The costly loop

The work is not hard. It is expensive because it never ends.

Inbox triage eats the morning

The same client questions, vendor pings, and “just circling back” notes. A partner-level hour spent on a $20 task.

Follow-up lives in someone’s head

Quotes, invoices, and renewals move only when one person remembers. Vacation is a risk event.

The CRM is a junk drawer

HubSpot or a sheet exists. Hygiene does not. Pipeline meetings become archaeology.

Shopify exceptions steal the day

Late, partial, and “where is my order” threads are a process. They are treated like surprises.

Sunday reporting still happens

Someone copies numbers into a deck because no one trusted the last automation enough to let it run.

You are about to hire for admin

A full-time seat for work that should be a documented loop plus a digital worker you can inspect.

What the digital worker actually does

Operators, not chat widgets.

Inbox and drafted replies

Triage by rule. Draft in your voice. You approve exceptions, not every thank-you email.

Quote → invoice → reminder

The commercial loop, with a written stop: the worker never invents a price or issues a refund.

CRM hygiene and cadences

Fields stay clean. Follow-ups fire when the stage says they should, not when someone feels guilty.

Reporting packs

The Sunday deck assembled from live sources. You edit the narrative, not the paste job.

Method

A diagnostic, a written scope, then a worker you can audit.

30-minute diagnostic

We map the process, the tools, and the failure mode. This is not a product demo.

Scope in writing

What the digital worker will do, what it will never touch, and how we measure “working.”

Build in your stack

Workspace, Shopify, HubSpot, Slack, email. Review cycle plus a named operator — not a black box.

Composite sketches · not testimonials

Where this usually pays for itself first.

We will not invent case studies. These are the SMB patterns we scope against until live references exist.

Professional services

Proposal follow-up without a partner chasing

Every sent proposal gets a cadence. Silence is logged. The partner only joins when a human conversation is actually needed.

Ecommerce

Exception handling on late and partial orders

WISMO threads and split shipments follow a playbook. Support stops reinventing the same reply.

Clinic / studio

Booking confirmation and no-show reduction

Confirmations, reminders, and a recapture path for unused slots. Front desk keeps the exceptions.

Trades / field service

Estimate → approval → invoice

The loop that usually dies in a truck cab. Approvals are tracked; invoices go out the day the job closes.

Agency / operator

Weekly reporting from live sources

A pack you can send Monday morning. Humans write the insight. The worker fetches the numbers.

Internal ops

An SOP that finally runs

The checklist on the wall becomes a worker with an owner, a log, and a monthly review.

Privacy, access, SLA

Trust is a control, not a paragraph.

Data handling

Client data is used to run your process. It is not used to train public models. You keep process docs if you leave.

Access

Least privilege, named accounts where the tool allows it, and a revoke checklist as part of offboarding.

Response window

English-speaking clients are covered by email / ticket inside published Pacific Time hours — not an always-on WeChat chat.

Engagements

Same commercial ladder. Different presentation.

Free diagnostic

Thirty minutes. You leave with a process map and a go / no-go, even if we never work together.

Single-process deployment

One loop, in production. The start is capped at or below one FTE’s monthly cost.

Managed workforce

Monthly review and iteration, kept under 20% of that FTE month.

What the diagnostic covers

Come with one process. Leave with a decision.

Which process still depends on one person’s memory?
Where does it live today — Gmail, Shopify, HubSpot, sheets, Slack?
What does failure look like: missed invoice, SLA breach, churn?
What is in-scope versus never-touch (refunds, legal, pricing)?
What does “working” mean in 30 days — hours saved, cycle time, error rate?

FAQ

The questions operators actually ask.

What do you integrate with?

Default stack is Gmail / Google Workspace, Shopify, HubSpot, Slack, and structured sheets. If a tool has a stable API or a clean export, we will say so in the scope. We will also say no.

How is data handled?

Least-privilege access, no training of public models on your data, and a written note of where credentials live. Offboarding includes a revoke pass.

What is the SLA?

English clients get a published response window on email / ticket during Pacific business hours. After-hours is opt-in and priced, not assumed.

How is pricing structured?

Diagnostic is free. The start is capped at or below one full-time employee’s monthly cost. Ongoing managed months stay under 20% of that FTE month. You see the number before any build starts.

How long to a first live process?

A well-bounded loop is usually live inside two weeks. Ambiguous ownership or messy source data is the usual delay — we flag that in the diagnostic.

What if it breaks?

You have a named operator and a fallback path written in the scope (queue, notify, stop). We do not leave a silent failure in a production inbox.

Is this a chatbot?

No. A chatbot is a widget. A digital worker is a documented process with permissions, logs, and an owner. Some of it may talk; that is not the product.
